Getting Paid at The Fire Station
We want to make payments to artists, promoters, event clients and suppliers as smooth and quick as possible. To do this, we need some information from you before we can process payments.
1. FIRST-TIME PAYMENTS (NEW SUPPLIER FORM)
What’s a New Supplier Form and why do I need one?
If this is your first time receiving payment from The Fire Station, you will need to complete a short form. This ensures we have your correct contact and bank details so we can set you up in our system. Payments cannot be processed until this is completed.
What details do you ask for?
- Contact information.
- Full legal name and address (individual or company).
- Company registration number (if applicable).
- VAT number (if applicable).
- Bank account details (bank name, account name, sort code, account number).
- A signed declaration confirming your bank details.
Tip: Please return this form promptly to avoid payment delays.
2. PURCHASE ORDERS (POS)
Do I need a Purchase Order?
Yes. All payments — including artists, agents, promoters, corporate clients, and suppliers — require a valid PO number before sending an invoice. Invoices without a PO number will not be processed.
How do I get my PO number?
Your main contact at The Fire Station (who booked your show, confirmed your hire, or ordered your services) will provide your PO number.
Why is this important?
Invoices cannot be processed without a valid PO number. Sending an invoice without one will delay payment until corrected.
3. SENDING INVOICES AND GETTING PAID
Where should I send my invoice?
Please email all invoices to accounts@culturequarter.com. Invoices sent elsewhere may not reach the finance team.
What must be included on my invoice?
- PO number.
- Full legal name / company name and address.
- Invoice date and unique invoice number.
- Clear description of goods/services (e.g., artist fee, deposit, % settlement).
- Total amount due.
- VAT details (if applicable).
- Payment date if agreed in contract.
When will I be paid?
- Artists/Agents: Payments follow contract dates for deposits and final balances.
- Other invoices: Standard terms are 10 working days from receipt of a valid invoice.
How will I be paid?
All payments are made via BACS (direct bank transfer), usually processed weekly with funds arriving on Fridays.
Can I check the status of my payment?
Yes. Email accounts@culturequarter.com with your invoice number and PO number for updates.
4. ARTISTS & AGENTS – PAYMENT TIMING
Can I invoice with a due date of the performance date?
Yes. Most artist invoices are due on or around the show date. Make sure your invoice clearly states this along with your PO number.
What if a deposit has been agreed?
If your contract includes a deposit, submit the invoice for it as soon as possible quoting your PO number. Payments will be processed according to the agreed schedule.
When will I receive final payment?
Final balances are usually paid on or shortly after the show date, provided a valid invoice with the correct details (including PO number) has been submitted. % settlement/overage payments follow standard terms.
5. PROMOTERS & VENUE HIRE SETTLEMENTS
Do I need a PO for ticketed events/settlements?
No. Settlement payments from ticket sales are managed differently.
Do I need to invoice for ticket sales?
No. After the event, we will provide:
- A full settlement statement showing ticket sales and deductions.
- Our invoice for the venue hire fee.
We then transfer your share of ticket revenue directly to you.
Who is responsible for VAT on ticket sales?
The Fire Station acts as a sales agent unless otherwise agreed. The hirer is responsible for HMRC accounting and VAT.
When will I receive my settlement?
Within 5 working days after the event, you’ll receive a settlement statement. The balance is then paid within 10 working days.
6. UPDATING DETAILS & CONTACT
My details have changed — what should I do?
Email accounts@culturequarter.com. You’ll need to complete an updated supplier details form for security reasons.
